Why interview scheduling needs a handoff
A calendar invite can be accepted while the interview is still not ready. The panel may lack the candidate brief, the time zone may be wrong, or the room or video link may not match the format.
The scheduling handoff records the candidate, role, interview stage, panel, time zone, format, preparation material, and the person who owns a change. It turns a calendar event into a reviewable commitment.
Confirm availability before booking
Capture the candidate's stated availability, the recruiter's confirmation, the panel's constraints, and the time zone used. Do not infer availability from a previous interview or a shared calendar.
If the candidate needs an accommodation, record the request and route it to the recruiter or HR owner. The coordinator should not promise an arrangement that has not been approved.
Record panel roles and preparation
For each interviewer, record the role in the process, the focus area, and the material they need. A panel invitation without a role can produce a duplicate interview or a missed competency.
Send the preparation request with a deadline and a named owner. The coordinator should not chase every document at the last minute without a visible dependency.
Use the related service scope to connect these ideas to a practical role boundary.
Handle reschedules with one owner
A reschedule should have a reason, a new time, the people notified, and the person who approved the change. Keep the original event history rather than deleting it.
If a panel member changes, confirm that the replacement has the same role and preparation. A warm body is not a panel.
Protect candidate communication
Use the approved channel and do not include unnecessary personal detail in a group invite. Confirm that the candidate received the change and knows the next step.
A candidate who has to ask for the link or the time zone is a scheduling defect, even if the calendar event looks complete.
SHRM recruiting guidance provides public guidance your team can use when checking workflow assumptions.
Review the handoff weekly
Sample one routine interview, one reschedule, and one interview with an accommodation. Check the availability, time zone, panel roles, preparation, and candidate confirmation.
The sample should show whether the handoff reduced confusion or only recorded it after the fact.
